Appointment reminder texts for therapists
In private practice an empty hour is rarely refilled on short notice, so every late cancellation or no-show lands straight on your week. NoShowText texts each client a reminder from your Google Calendar or Calendly and puts their reply on your own phone.
- NoShowText for Cedar Street: Your appointment is Thu at 10:00 AM. Reply C to confirm, R to reschedule, X to cancel. Reply STOP to opt out.
- NoShowText for Cedar Street: Reminder, your appointment is today at 10:00 AM. Reply here if anything changes. Reply STOP to opt out.
- NoShowText for Cedar Street: Confirmed, see you Thu at 10:00 AM. Reply R if you need a different time. Reply STOP to opt out.
A day in the life with NoShowText
A session hour is hard to refill the same day, and a client who is quietly dreading the visit is the one most likely to go silent. A short text the day before, with an easy way to say “I need to move this”, gives them a gentler exit than a no-show.
Here is how a normal day runs once NoShowText is connected. Twenty-four hours before each appointment, your client gets a text from “NoShowText for Cedar Street Counseling”. They reply C to confirm, R to reschedule or X to cancel, or they type a few words of their own. Two hours before, a second, shorter text goes out unless they have already confirmed, in which case they get a gentler note instead. If a client texts something like “running 10 late”, we pass it straight to your own cell, so “running 10 late” reaches you before you wonder whether to start without them. At 5 pm you get one short summary of tomorrow: who confirmed, who cancelled, who has not answered.
What your client sees
This is the real 24 hour text, with a sample business name:
NoShowText for Cedar Street Counseling: Your appointment is Tue Nov 4 at 3:00 PM. Reply C to confirm, R to reschedule, X to cancel. Reply STOP to opt out.
It starts with the business name so the client knows who is writing. It has one action, three one-letter answers, and the opt-out line. Texts go out between 8 am and 9 pm in the client’s time zone, never in the middle of the night.
Privacy for therapists
Therapists have the most to protect here, so the text is built to say as little as possible. The reminder says “appointment” and a day and time. It never names a service, a clinician or the word “therapy”, because the template has no field for any of them. The sender name is your business name, so pick one that reads the way you want it to on a client’s lock screen. Your clients’ replies and numbers stay in your own phone and your calendar. We do not claim to make your practice compliant with any health privacy rule; we simply keep clinical detail out of the message.
Setup in five minutes
Connect Google Calendar or Calendly, tell us where the client’s mobile number lives, and add one consent sentence to your intake or booking form. We write the sentence for you. Both Google Calendar and Calendly work today. Nothing in your calendar is changed. After you connect, you get one text on your own phone saying you are live, and from then on every new booking is picked up on its own. If you ever need a quiet week, text PAUSE and reminders stop until you text RESUME, while client replies still reach you. A short settings page lets you set your business name, time zone, and the booking link clients get when they ask to reschedule.
Price
$39 a month, flat. There is a 14-day free trial, a card is needed up front, and you can cancel any time from the billing portal. There is no per-text cap.
Questions
Does the text say what kind of appointment it is?
No. The reminder says "appointment" with a day and time. There is no service field in the template, so it cannot name therapy, a diagnosis or a clinician.
What if a client replies with something personal?
Anything that is not C, R or X is passed to your own cell with the client's name, so you decide what to answer. Questions about clinical matters are handed to you, not answered by us.
Which booking tools does it work with?
Google Calendar and Calendly today. Your calendar is read only; nothing in it is changed.
Do I need my clients' permission to text them?
Yes. We give you one sentence for your intake form that names NoShowText and your practice. Each new number also gets one confirmation text with STOP and HELP before the first reminder.
Can I pause reminders when I am away?
Yes. Text PAUSE to the number and no reminders go out until you text RESUME. Replies still reach you.
